Program Assistant and Data Manager

Job Summary
We are seeking a highly organized and detail-oriented Program Assistant and Data Manager to support our academic institution’s operational and data management needs. The ideal candidate will play a key role in managing administrative tasks, overseeing admissions and enrollment processes, and maintaining accurate data records. This position requires excellent communication skills, proficiency with various software tools, and the ability to handle confidential information with discretion. The successful candidate will contribute to the smooth functioning of our programs while ensuring data integrity and supporting institutional goals.

Responsibilities

  • Assist with day-to-day program operations, including managing schedules, coordinating meetings, and supporting project activities.
  • Support admissions and enrollment management processes, including application tracking and communication with prospective students.
  • Maintain and update databases, spreadsheets, and records to ensure accuracy and confidentiality.
  • Prepare reports, summaries, and presentations using Excel, Google Suites, Canva, and other relevant tools.
  • Provide excellent customer service to students, staff, and external partners through clear communication and timely responses.
  • Handle sensitive or confidential information with discretion in compliance with institutional policies.
  • Support administrative tasks such as drafting correspondence, managing documentation, and organizing files.
  • Contribute to the development of visual content or promotional materials using Canva or similar platforms as needed.
  • Ensure all data management activities adhere to organizational standards for accuracy and security.

Requirements

  • Proven experience in administrative roles within academic institutions or similar environments.
  • Strong proficiency in Microsoft Office Suite (Word, Excel) and Google Suites (Docs, Sheets).
  • Experience with spreadsheets for data entry, analysis, and reporting purposes.
  • Excellent writing skills for correspondence, reports, and documentation.
  • Highly organized with exceptional attention to detail.
  • Ability to handle confidential information responsibly.
  • Customer service experience demonstrating professionalism and effective communication skills.
  • Familiarity with admissions and enrollment management processes is preferred.
  • Creative skills using Canva or comparable design tools are a plus.
