Primary Purpose of Position:

 

Provide financial and operational oversight of regional portfolio to maximize long term value. Prepare and execute the portfolio business plan in accordance with corporate goals and objectives. 

 

Essential Functions:

 

Operations

  • Develop and implement consistent Property Management operating procedures for assigned portfolio to provide first-class service to tenants. 

  • Assume overall financial accountability including approval of all budgets at portfolio level and providing capex recommendations. 

  • Review and approve operating and capital budgets for portfolio. Develop and implement capital projects to preserve the long-range viability of corporate assets.

  • Negotiate contracts and arrangements with vendors ensuring that all Company standards are adhered to as well as leveraging purchasing power of West Coast Region’s scale when applicable. 

  • Conduct formal site inspections with Property Management staff, in compliance with established standard operating policies and procedures.

  • Participate in asset repositioning projects by working with the respective asset teams.

  • Participate in due diligence surveys of new acquisitions, including but not limited to staffing plans, office procedures, and budget review and service contracts.

  • Maintain familiarity with all sections of leases related to operating provisions, services/additional services, expenses, tenants use and landlords obligations.

  • Quality control all financial reports, including but not limited to quarterly variance reports, reforecast of income and expenses, tenant account receivables, and Quarterly Financial Statements.

  • Review and approve invoices, travel and expense reimbursement requirements and purchase orders as necessary.

  • Originate, pursue and negotiate fee and license revenue opportunities (i.e. parking, amenity space, creative repurposing of under utilized spaces, etc.)

  • Strategize with department head on all matters related to streamlining operating procedures, change management, utilization & implementation of emerging property technologies.

 

Tenant Relations

  • Overall responsibility for tenant relationships and tenant satisfaction in assigned portfolio.

  • Resolve legal disputes between tenant and landlord and effectively use legal counsel as a resource.

  • Oversee communication to retailers, office tenants and community via management of marketing and/or public relations firms.

 

Talent Management

  • Responsible for regional staff development and succession planning partnering with peers to assess bench strength.

  • Provide objective performance assessments and reinforce improvement opportunities when applicable. 

  • Manage human resources matters to include recruitment, interviewing, training, development, performance management, and compensation reviews.

  • Conduct annual and mid-year reviews and ongoing informal performance evaluations with direct reports and create an environment for continued learning.

 

General

  • Provide leadership and strategic planning including supervision of day-to-day and long-term operational functions, focusing on tenant relations, enhancing shareholder value, and executing the operating and financial plan.  Execute the management of assigned portfolio through the direction of staff.

  • Collaborate with the regional head of Property Management and maintain consistent communication with other regional department heads on the development of the annual business plan & department specific goals. 

  • Drive strategy development for assets via an understanding of the market, corporate goals, and existing leases.

  • Provide main interface and serve as main point of contact with regional Development department regarding existing assets’ operations and footprints when new projects are proposed and/or developed.

  • Accountable for adherence to internal controls and compliance with company policy and procedures. 

  • Assume leadership role for special projects and the implementation of initiatives within the region.

  • Represent the company within the real estate industry and participate in business, community and governmental organizations.

  • Interface and serve as a support and resource to the Regional Development department regarding existing assets’ operations, community relations and footprints when new projects are proposed and/or developed.

  • Provide timely information on all property-specific issues and important developments within assigned portfolio to management team as required.

  • Willingness to learn, implement and train property staff on property technology and artificial intelligence tools. 

  • Oversee relationships with the Regional Leasing staff to market assigned portfolio.

  • Ensure regulatory compliance and enforce control policies and procedures.

  • Oversight of emergency response procedures.

  • Show space to prospective tenants when required.

  • Represent Boston Properties as active member of Building Owners and Managers Association (BOMA).

  • Participate in community business organizations representing Boston Properties’ to ensure the company’s interests are protected. 

  • Perform other duties as assigned.

 

Requirements and Qualifications:

  • Bachelor’s degree with a concentration in Business Administration or Real Estate related field required.

  • A minimum of 12-15 years of progressively responsible Class A commercial office property management experience required. 

  • Certification as Real Property Administrator (RPAâ) and/or Certified Property Manager (CPMâ) preferred.

  • Continuing education toward LEED certification highly desirable.

  • Previous management level supervisory experience required.   

  • Proven ability to execute "best in class" building operations, with a strong technical understanding of mechanical, electrical and plumbing (MEP) systems as well as a solid understanding of structural design concepts required. 

  • Familiarity with ADA and OSHA.

  • Working knowledge of security and life safety protocol.

  • Excellent communication, management and leadership skills.

  • Demonstrated customer service and problem-solving skills.

  • Ability to work with and/or supervise staff, consultants, and tenants with a wide range of disciplines and positions.

  • Ability to organize and coordinate work efficiently, set priorities, and motivate others to do the same.

  • Ability to work in a face paced environment and deal effectively with multiple, simultaneous deadlines and projects.

  • Proficiency with Microsoft Office Applications.

  • Flexibility with schedule.

     

 

Physical Requirements:

  • Involves work of a general office nature usually performed sitting such as operation of a computer.

  • Involves work of a general office nature usually performed standing such as operation of a fax and printer.

  • Involves work such as tours throughout property portfolio usually performed by walking and by climbing stairs. 

  • Involves movement between departments to facilitate work.

  • Regularly required to bend and reach.

  • Regularly use hands and fingers to write and type.

  • Regularly required to talk and hear.

  • Occasionally required to crouch, climb stairs and ladders and in environments with temperature ranges both while working outside and inside.

  • Occasionally exposed to vibration or noise as well as dust.

  • Vision abilities allowing reading of printed material, graphics, computer displays and physical inspections of properties and sites.

 

Internal and External Contacts:

This position interacts extensively with all levels of employees within Boston Properties, with tenants and the general public.

 

Reporting Structure:

This position reports directly to the head of Property Management who provides supervision, guidance and evaluates work performance on a periodic basis.

 

Salary Range:
